Sunday, October 25th, 2009

A resume is very critical in job search. It creates the first impression and may or may not convert the job application into an interview. The HR managers are facing tough time in meeting the human resource requirements. Where technology is changing rapidly, the need for acquiring new and updated talent has become extremely important, Thus HR managers face time pressure and are expected to give good results within a short span of time. This leads to the criticality of an online resume, where it acts as a “screener” and answers the basic question for the HR manager “why should I hire you?”

An online resume should preferably be tailor-made according to the specific job requirements. As a hardcopy cannot be changed every time, the functional benefit of an online resume is that it can be altered or suited according to the requirements of different jobs and vacancies. While crafting an online resume for thorough and effective job search, avoid simply mentioning your chronological listing of experiences and qualifications. Rather opt for selective listing which is carefully ordered. Moreover the resume should include all the relevant and necessary information which is visually appealing and is in an easily readable format.

A candidate goes on a job search at different stages of his career. Initially at the fresher’s level, job search is very rampant and the candidate is not much keen in reading or going through the job profiles or job descriptions and simply focuses on grabbing a good opportunity. Thus during this challenging phase of your career, an online resume plays a very significant role. It should not only include your qualifications, but should also outline your potential ability and capability to contribute to the development of the said organization.

Once the candidate achieves five years of experience, his job search now focuses more on job profile and growth opportunities. Here the organizations too focus more on the candidate’s experience and past working history. An online resume at this stage of career should significantly point out relevant experiences with precise details of any important deals or achievements during the working tenure. The work experience should include the employer’s name, designation, job duration and job description or working profile. If you have work experience in more than one location in the same job, mention the profiles for each location separately so that the employer gets a fair idea of your association with the organization.

Job search for suitable vacancies for experience more than ten years are confidential and should be dealt very carefully. The senior management personnel should avoid mentioning their names and personal details in the initial communication process. Candidates, who wish to seek high profile and senior level jobs should avoid mentioning current employer’s details, though they can highlight their work exposure and job acquisitions. Before submitting the online resume the candidate should first enquire in detail, about the job in quest, and should apply after being satisfied. The recruiters too take very cautious steps in screening and short listing these online resume posted by senior management as they are supposed to manage the entire organization and its success depends on how successful the recruitment process proves to be.

Notwithstanding the fact that qualifications and experience are the two fundamental criterion on which HR managers shortlist the resume, yet one of the most important fact that no HR manager can deny is the presentation and content of the resume, that makes them go through the complete resume of people.

An online resume should be written with precision and be presented in a professional style. The language, content and matter of the resume should be absolutely formal, with no personal pronouns and informal slang or abbreviations. The resume should be written in a chronological or functional structure, though a combination of both is the best.

Always, mention your name and address for communication on top of the online resume which can also be included in the “header” for all the subsequent pages to follow. After enumerating your work experience, include your qualifications followed by awards and achievements acquired during your working tenure or academics. In the end mention your personal profile, whereby give your father’s name, date of birth, hobbies and interests.

Always avoid putting your photograph on the online resume. If it is specifically mentioned in the advertisement or recruitment call, then only attach your photograph, else try avoiding it. Secondly never quote your current or expected salary on the resume. If asked then always mention it in the cover letter, rather than in the online resume.

The resume should always be preferably written in MS Word, and be sent as an attachment to a cover or introductory mail. Never copy the resume in the mail.

Cover Letter for an Online Resume

Friday, October 23rd, 2009

Like the resume, the application letter is a tool to sell your self. A cover letter should surely arouse the employer’s interest in your resume and thus strengthen the chances of being invited for an interview. Thus it is very important to consider the employer’s perspective, and tailor the letter to the unique requirements of the position for which you are applying, the organization to which you are applying and the industry to which the job belongs. A cover letter sent as a mail while applying through an online resume is a supplement to, rather than a substitute for the resume.

One of the most important attribute of a well- written cover letter is the use of “you-attitude” that is, your email should focus on the reader and his needs rather than your desire and expectations. The length of the application letter should not be more than four to five paragraphs. The email should thus be very concise and brief just enumerating upon the key skills which exactly match the required qualifications and the skill set, so that the reader gets an impression of meeting a candidate who is almost a perfect job fit. Also take care that the cover letter email should always be addressed to a person and not to a title. It is worthwhile to spend some time and effort to know the name of the concerned person to whom you are sending the mail.

It is desirable to mention the current activities of the company to which you are applying online. It creates a very positive and favorable impression on the recruiter once he realizes that the candidate is abreast with the current developments. Try not repeating the job requirements in the email as the employer already knows them. Just mention the key skills that you possess, so that the chances of screening the online resume gets enhanced.

A well written cover letter sent through email usually contains the reader benefit material. It is very important for the candidate to ensure that he converts the factual information related to his qualifications and experience into material that the reader can use to his advantage.

A good cover letter which is sent through email, while posting online resume should be written in the style which conveys an impression of confidence. Effort should be taken to avoid, spelling, grammar and punctuation mistakes, as it has a very unfavorable impact. Most of the recruiters view such carelessness negatively and on finding errors eliminate the application and do not even screen the resume.

Thus the email through which the online resume is attached is of significant importance. If the introductory email or the cover letter gets successful in creating a favorable image, the online resume does rest of the selling. Try not to repeat the sentences or words which are mentioned in the email, in your resume. The central idea can be the same, to focus on your key skills which meet the required specifications, but the presentation of ideas and content should be absolutely different, else the reader would not go through the online resume discerningly.

The tremendous growth of information technology in the field of human resource management has lead to a sea change in the process of recruitment and selection. The HR managers are now completely devoted to HRIS and other software innovations which has eased processing but complicated decision making. Today electronic and software scanning of online resumes has eliminated human intervention. Thus resumes should now be written in accordance to the methodology that is being followed by the top corporate today.

Words alone are not important. They are now substituted by “keywords”. If the resume is written with the keywords that the recruiter is hunting for, then only your online resume will be short listed. If your resume does not have the requisite keywords then the chances are very bleak. Not only the keywords are important, industry specific terms and acronyms are also important to arrest the recruiter’s attention towards your resume.

A resume should definitely be unique. A smart, professional, concise, precise, complete and an efficient resume would be a winning resume. Employers who post openings on job portals and websites are today flooded with hundreds of online resumes every day. It’s not very practical for them to download each and every resume and go through them in detail. Here comes the role of e-scanning and software filtering techniques. What if you are one of the most deserving candidates but your resume does not even get short listed for screening? It would be a great disaster. Thus always write your online resume with consideration of apt keywords and required specifications.

The format of an online resume can be of three types; functional, chronological and hybrid which is the combination of both. It depends upon the experience and background, to select the correct format. Fresher or candidates with not more than two or three years of work experience usually structure their resume in a chronological format, and those candidates who have richer experience opt for a functional resume.

The appearance and mechanics of an online resume are also very important. The font should be plain and simple and a reasonable size between 9 to 12 points would be preferred. With advanced formatting tools in Microsoft Word, the resume should not be much experimented. Recruiters would surely not appreciate motley of your qualifications and achievements. Try to keep the formatting very simple and emphasize the required points and put shading and other effects minimal. Avoid using unnecessary tables and blocks in your resume.

If your e-resume, can emphasize on numbers or numerals it would be a great attention getter. Recruiters always appreciate and welcome facts. Subjective and theoretical statements appear phony and copied. Thus if you could highlight your achievements in terms of percentage, currency, time frame or any other relevant statistics, the chances of your resume getting short listed would surely be enhanced. Always keep in consideration that the most important attribute of your online resume is its preciseness. Never have a resume which runs three to four pages in length. Always tailor the resume to match the job description so that the employer gets an impression about your suitability by reading few sentences only.
